In certain situations, you may need to extract one or more emails from your inbox. An amateur would copy and paste the text from each email or take screenshots. A smarter approach is to use a specialized application to export the emails. MessageExport for Outlook can store your email messages on the hard drive, in various formats. It places numerous customization options at your disposal and the best part is that it allows you to create export profiles.

As the name suggests, MessageExport for Outlook is a plugin for MS Outlook. It can integrate with various versions, from Outlook 2003 to Outlook 2013 and it can be used on Windows XP, Vista, Win 7 and Win 8, as well as various Server editions. Downloading and installing the plugin should not take more than a minute, even on slower machines. The plugin is not free, but a decent thing, that needs to be mentioned, is the fact that you can still use it to export individual messages, even after the trial version expires.

Once installed, MessageExport will add a new toolbar on Outlook's user interface. All you have to do is select one or more messages, choose an output profile from a drop menu and click a Save button. The plugin is capable of exporting messages in PDF, TXT, HTML, CSV, JPG, GIF or TIF and many other formats. Furthermore, MessageExport will save your emails together with their attachments. You can choose from various methods of saving the attachments if you opt for the PDF format. It is possible to embed attachments to PDF, include them as new pages or save them separately, in a new folder.

When you save your emails, MessageExport will ask you to select a destination folder, but you can set up a default path in the plugin's general settings menu, which contains many other useful options. You can set MessageExport to rename the files, based on selected wildcards, to compress the messages individually or in the same archive and more. A scheduling feature is available as well. Depending on your settings, messages will be exported automatically every few minutes or hours, starting on a certain day and ending on another.

Output profiles can be managed on a different window. You can either edit existing profiles or create new ones. Regardless of your choice, you will have to make the necessary settings in the plugin's general settings menu.

Pros

You can export emails from Outlook in various formats. The plugin can save attachments as well, in various ways. Also, it allows you to create output profiles, so you don't have to make the same settings more than once.

Cons

When clicking the OK button in the general settings menu, MessageExport will save only the configurations from the currently selected tab. Even if you receive countless emails each day, MessageExport for Outlook will help you store and organize them as fast and easy as possible.
